Job Title: Administrative Program Coordinator

Position Summary and Key Responsibilities:

The Administrative Program Coordinator provides research, financial and administrative support to the Prostate Cancer Research Program Director under the guidance of the Department Business Director/Manager and in collaboration with departmental staff and other organizational departments..

S/he works with the Program Director in coordinating and facilitating the operational activities of the Prostate Cancer Program by working with research, medical, administrative, laboratory and nursing personnel.  Performs a variety of professional & administrative duties as well as financial analysis.  S/he functions in support of the day-to-day operations to support the scientific aspects of the cancer program and the department. Other responsibilities include pre- and post- award management to facilitate the sponsored research components inherent within a comprehensive cancer center program.

Essential Functions:

Coordinate the Prostate Cancer Research Program at COH Comprehensive Cancer Center under the guidance of the Program Director - initially focusing on establishment and development of the program.

  • Serve to consolidate all procedural improvements, data gathering, and will optimize interactions between the survivorship program, GU Disease Team and the centralized clinical research operational staff.

  • Engage in variety of complex duties assigned by the Program Director to accomplish the administrative and financial components of the program development.

  • Participate in short- and long-range planning and policy or program development by analyzing operational policies, resource utilization, etc. and developing recommendations for the program management.

  • Research, gather, analyze & summarize data for reports. Communicates routinely with disease team members, cancer center advisory groups, departmental leadership and community advocates to track status of projects. Develop tracking system for ongoing status of projects.

  • Prepare and distribute written status reports of project plans, progress and results of activities. Submit status reports to Director (or his/her designee) on a regular basis.

  • Organize meetings, take minutes of the meetings, and handle follow-up for action items.

  • Facilitate pre- and post-award grant management within the program. Keep track of due dates of progress/financial reports for the awards.

  • Perform other administrative duties within the program as assigned.

Operationalize the Prostate Cancer Research Program at the COH Comprehensive Cancer Center under the guidance of Department Business Director/Manager in collaboration with departmental staff and other institutional departments.

Research Administrative Support

  • Assist in preparation and submission of grant applications for the Prostate Cancer Research Program Director.

  • Coordinate and assist in the areas of contract and grant administration and proposal development, purchasing, and expenditure control.

  • Interpret, monitor, and analyze information regarding operating policies and procedures.

  • Process contracts within MediTract as needed, working with vendors, OSR, OTL, Contract Management, and Legal.

  • Review accuracy of personnel time and effort reporting.

  • Respond to Prostate Cancer Research Program Director , departmental, and external office inquiries (which would require being knowledgeable of institutional and extramural funding policies and procedures).

  • Assist Prostate Cancer Research Program Director's business activities, including but not limited to budget preparation and monitoring, project management, purchasing, personnel, facilities, travel, reporting required by the institution.

  • Performs other administrative duties as assigned.

Financial Management

  • Manage extramural funds including: federal and non-federal funds, contracts, clinical trials, grants, gifts, endowments and other forms of financial support.

  • Manage internal funding sources including ADF, Salary Savings, Start Up Package. Analyze and prepare financial reports for all funding sources and provide recommendations as needed.

Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan.  Practices a high level of integrity and honesty in maintaining confidentiality.

Performs other related duties as assigned or requested.

Minimum Education and Skills Required for Consideration:

  • Bachelor's Degree required, clinical research experience a plus and 3 or more years of progressively responsible experience in a clinical research healthcare environment, the conduct of health science research or an equivalent combination of education and experience. Experience in academic or research environment.
  • Practices a high level of integrity and honesty in maintaining confidentiality.
  • Human Subjects course (federal program - may be accomplished after hire) will be necessary.
  • Excellent verbal communication and telephone skills.
  • Excellent written communication skills.
  • Possess a high level of administrative and secretarial skills and versatility in use of PC's and related office software.
  • Excellent organizational skills.
  • Displays tact/consideration in dealing with City of Hope patients and employees.
  • Foster/promotes a positive image and professional appearance.
  • Website and Access database.
  • Typing of 55 to 65 wpm.
  • Establish and maintain filing systems.
  • Interface with internal/external people at all levels.
  • Handle multiple tasks simultaneously.
  • Compose letters and memoranda.
  • Transcribe dictated materials.
  • Knowledge of MS Word, Excel, PowerPoint, Access.
