Job Title: Events Supervisor

Position Summary:

Under the direction of the Events Director, the events supervisor is responsible for a portfolio of high-visibility, multi-platform events (marketing, celebrity, cultivation, industry and fundraising). The Event Supervisor requires a highly organized, creative, detail oriented, and project manager to serve as lead for event planning, management and production. Events include galas, corporate functions, sport outings, donor engagement and marketing events.  Responsibilities include event theme building and planning, budget preparations and tracking, coordinating event,  creating event programs, communicating with event attendees, donors and sponsors, contracting vendors, coordinating event logistics, timelines and tasks as necessary for event production. The Event Supervisor will also participate in the development of new event opportunities and identify potential new events. . In addition s/he will collaborate on the design and implementation of supporting public relations activities, celebrity involvement, media partnerships and promotions and marketing strategies to expand awareness of the events and City of Hope.

Key Responsibilities include:

  • Responsible for conceptualizing events to fit the goals of the strategic mission of the institution. Is charged with managing the image of the institution by producing events with consistent protocol, look, ambiance, high quality, and level of ceremony.
  • Oversee all aspects of assigned events including but not limited to budget development and maintenance, food and décor, audio visual, invitation/notifications and collateral design, staffing plans, briefings and follow up.
  • Organize and lead collaboration with the Marketing Team and Philanthropy team on event concept, design, production and event marketing.
  • Assist with event budget preparation, keep track of finances and manage vendor contracts.
  • Secure speakers and entertainment (when necessary), review timelines, write scripts and coordinate rehearsals.
  • Maintains professional growth and development and keeps abreast of latest trends in area of expertise
  • Manage and implement special projects as assigned by the AVP.
  • Provides positive and effective customer service that supports departmental and hospital operations.
  • Contributes to the teamwork within and between departments and organizations.                                                                                           

Minimum Education and Skills Required for Consideration:

  • Bachelor's Degree
  • Must have at least 3 Years of event planning/production, constituent management
  • Must be willing to work some nights and weekends as needed based upon events schedule.
  • Must have excellent time management and organizational skills.
  • Must have professional poise and demeanor.
  • Must have excellent written and verbal skills.

Preferred Education and Skills:

  • Advanced Degree
  • Marketing, Communications or hospitality/event planning degree preferred
