Donor Engagements Events & Travel Specialist

  • Collaborate with overseas staff and Regional Development Directors to plan and follow up on visits by major donors to CRS programs overseas, ensuring a professional, donor-centered pre- & post-trip experience. That includes coordinating and fulfilling travel logistics, troubleshooting and resolving issues as needed, preparing briefing materials, timely post-trip invoicing to donors for travel expenses, and implementing continuous quality improvements.
  • Support the execution of a strategic plan for national and regional events for donors to raise awareness and engagement with the agency. This position will oversee the design, production and distribution of event materials such as invitations, briefing books and promotional materials. Solicit bids and negotiate and finalize contracts with vendors. Manage on-site logistics and implementation of events. Ensure accurate and timely record keeping.
  • Collaborate with Stewardship Team to ensure events and donor trip communications and follow up plans reflect a coordinated and comprehensive Stewardship strategy consistent with department protocols.
  • Support the development and execution of a system to monitor and report on effectiveness of events, speaker tours and donor travel and provide recommendations and implement changes as needed.
  • Promote the overall effectiveness of leadership giving by facilitating communication among stakeholders and contributing on department-wide projects.
  • Perform other related activities as requested.

Key Working Relationships:

Internal: Events Manager, Director of Donor Engagement, Sr. Director of Leadership Donor Engagement; Director of Stewardship and Stewardship Team; Annual Giving, Regional Development Officers throughout the U.S., other Charitable Giving departments, Marketing and Communications, US Operations, Finance, OverOps staff in destination countries

External: Major donors and prospective major gift donors, CRS Board of Directors and Foundation Board members, and volunteers and vendors, including the CRS Travel vendor.

  • Bachelor's degree required.
  • Three to five years of event/meeting planning and management experience required
  • Fundraising and/or non-profit experience helpful, especially with leadership donors
  • Experience with donor relations, donor tracking systems or prior experience with client management systems a plus.
  • Strong project management and budget/financial management skills,
  • Professional communications experience helpful
  • Proficient in MS Office
  • Excellent oral and written communication skills
  • Comfortable with administrative tasks necessary to plan, execute and track events
  • Ability to travel.

Physical Requirement and Environment:

  • Travel to event sites as required
  • Ability to work a flexible schedule due to occasional evening and weekend events
